Job Title: Executive Secretary

Job duties:
The Executive Secretary will provide high-level administrative support, ensuring efficient operation of the organization, including coordination of meetings, events, and documentation management.
- Administrative Coordination:
- Manage and streamline all administrative procedures within the organization, ensuring smooth day-to-day operations.
- Coordinate logistics for all Board meetings, AGM, workshops, conferences, and special events, ensuring efficient planning, execution, and follow-up.
- Documentation and Records Management:
- Maintain comprehensive and organized records of all meetings, including accurate minutes, attendance records, and action points with follow-up responsibilities clearly outlined.
- Develop and maintain an efficient documentation and filing system, ensuring ease of access and confidentiality as required.
- Membership Support and Communication:
- Act as the primary point of contact for organization members of the organisation, efficiently handling inquiries, correspondence, and providing timely updates.
- Coordinate the onboarding process for new members, providing necessary documentation and orientation to organizational policies and benefits.
- Compliance and Governance Support:
- Assist the Executive Director in ensuring compliance with governance requirements, preparing documentation for regulatory submissions, reports, and audits.
- Track compliance deadlines, reporting schedules, and liaise proactively with stakeholders to ensure all obligations are met timely.
- Support to Executive Leadership:
- Provide administrative support to the Executive Director and Chairperson, including scheduling meetings, managing appointments, preparing reports, presentations, and correspondence.
Requirements:
- Bachelor’s degree in Business Administration, Management, or related field.
- Minimum 3 years of experience in administrative or executive support roles.
- Excellent organizational, communication, and interpersonal skills.
